Background
Under the overall guidance and supervision of the Stress Counselor, the Stress Counselor Assistant assists in the overall management of administrative services, administers and executes processes and transactions ensuring high quality and accuracy of work. The Assistant Stress Counselor promotes a client, quality and results-oriented approach.
The Stress Counselor Assistant works in close collaboration with the Stress Counselor, OPSA, SIOC, DCSA Operations and projects staff in the CO and other UN agencies staff to exchange information and ensure consistent service delivery.
Duties and Responsibilities
Summary of Key Functions:
- Implementation of operational strategies;
- Efficient administrative support;
- Support to proper supply and assets management;
- Support to common services;
- Coordination of Registry and Receptionist functions;
- Support to knowledge building and knowledge sharing.
Ensures implementation of operational strategies, focusing on achievement of the following results:
- Full compliance of administrative activities with UN/UNDP rules, regulations, policies and strategies;
- Provision of inputs to Stress Counselor’s Office focusing on substantive administrative support in managing priorities and work flow of the office;
- Perform a wide range of administrative duties such as leave and attendance records, initiating requisitions for the office supplies and ensuring that the office equipment is well maintained.
Ensures efficient administrative support, focusing on achievement of the following results:
- Coordination of travel arrangements;
- Organization of workshops, conferences, retreats;
- Coordination of DSA, travel agencies, and other administrative surveys, surveys for organization of common services;
- Maintain strict confidentiality in handling a wide range of sensitive and confidential information, requests, and inquiries;
- Maintain clinical statistics and psychosocial stressors databases;
- Assist in compiling daily, weekly and monthly activity reports;
- Assist in organizing training sessions on stress management and other relevant psychosocial topics, including presentations and training materials;
- Schedule counseling appointments, and promote counseling services at the duty stations;
- Assist in the creation and distribution of counseling pamphlets or posters and other psycho educational materials;
- Act as Peer Helper and Psychosocial First Aid provider in emergencies;
- Assist Stress Counselor to maintain peer helpers’ network by organizing regular meetings;
- Hold a valid driver’s license and willingness to drive as per instruction of the Stress Counselor;
- Perform other duties as required.
Provides support to proper supply and assets management, focusing on achievement of the following result:
- Coordination of assets management in the Stress Counselor’s Office, timely preparation and submission of periodic inventory reports;
- Coordination of the provision of reliable and quality office supplies.
Ensures proper common services focusing on achievement of the following result:
- Maintenance of common services/office space management to ensure integrated activities on common services and implementation of the UN reform.
Coordinates implementation of Registry and Receptionist functions, supervises Registry Clerk and Receptionist, focusing on achievement of the following results:
- Provision of efficient general reception and information services;
- Provision of reliable registry services.
Supports knowledge building and knowledge sharing in the CO, focusing on achievement of the following results:
- Briefing/debriefing of staff members on issues relating to area of work;
- Sound contributions to knowledge networks and communities of practice.

Required Skills and Experience
Education:
- Secondary Education with specialized certification in psychosocial support or a related course. University Degree in Psychology, Business or Public Administration and Social Sciences would be desirable, but it is not a requirement.
Experience:
- Minimum 6 years of relevant experience in psychosocial support, Administration or Programme support service. Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems.
Language Requirements:
- Fluency in the UN and national language of the duty station.
